Administrative Assistant – Position Description

Cook, CPA PLLC is seeking an administrative assistant to join our team. We are a growing and dynamic firm located in Hickory, North Carolina. A certified public accounting firm, we specialize in helping small business owners achieve their goals by providing accounting and tax solutions so they can focus on doing what they love. Services offered include business and personal tax compliance, IRS resolution, bookkeeping, QuickBooks setup and trouble-shooting, and fractional CFO services. Position Description
The Administrative Assistant is responsible for general office tasks including scheduling, maintenance of client data, client files, and assembly of tax returns and other deliverables. This individual will communicate proactively to ensure deadlines and the needs of clients are met. Provides administrative support to team members and positively contributes to the office culture and client experience. This position is an excellent fit for a customer service-orientated professional seeking an opportunity within a growing firm.
Specific Responsibilities
• Reception desk duties, greeting clients and visitors
• Client scheduling and follow up
• Screen incoming phone calls and route calls to the appropriate party
• Administrative support for owner; including calendar management, scheduling, and timekeeping
• Administrative support for other team members as needed
• Preparation of marketing materials and social media posts
• Preparation of bulk mailings and client outreach
• Organize and maintain client and referral partner database
• Organize and maintain client files
• Continue ongoing education by participating in webinars, workshops, conferences and networking events
• Provide exceptional customer service
• Ensure accuracy and quality control of all work product
• Maintain confidentiality with personal and sensitive data
Qualifications and Competencies
• High school diploma or equivalent, Associates degree or higher preferred
• Detail-orientated
• Ability to multitask, prioritize, and organize efficiently
• Excellent verbal and written communication skills
• Proficient in Microsoft Word, Excel, and Power Point
• Supportive of firm core values
Preferred Qualifications
• Two years of administrative experience
• Familiarity with a professional services firm and/or accounting experience
• Advanced technology skills
• Desire to grow and advance through continued training
Specifications
• 28-34 hours per week
• Potential for Fridays off outside of busy seasons (January-April, August-October)

COVID-19 Safety
This position requires frequent interaction with the public, and our clients include the elderly and other vulnerable populations. Employees are required to be fully vaccinated against COVID-19 unless medically exempt. Proof of vaccination status, proof that the vaccine has been scheduled, or proof of medical exemption will be required prior to beginning employment. If an employee has a medical exemption, they will be required to wear a mask while working except while actively eating or drinking.
